How Can You Streamline Approvals Using 3DEXPERIENCE Route Management?

Streamline Approvals with Route Management in 3DEXPERIENCE: A Complete Guide

In today’s fast-paced product development environment, managing approvals, feedback, and documentation can quickly become overwhelming. The Route Management app in the 3DEXPERIENCE platform, available through the Collaborative Industry Innovator role, offers a powerful solution for streamlining and automating workflows whether it’s a complex product lifecycle process or a simple design review.

What is Route Management in 3DEXPERIENCE?

3DEXPERIENCE Route Management enables users to create, manage, and automate task-driven workflows. These workflows called “routes” are composed of individual tasks assigned to specific users or groups, each with a defined action such as approval, review, or notification.

Types of Routes

  1. Approve
The assignee must formally approve the task item (design, document, etc.).

  2. Comment
The assignee must provide comments or feedback. This is often used in review processes.

  3. Notify Only
The assignee receives a notification but does not need to take action.

Route Configuration: Tasks can be set up in two ways
Serial: Tasks are completed in a specific order (e.g., Task 1 must finish before Task 2 starts).

Parallel: Multiple tasks can occur simultaneously.

Any Assignee Completes: Route proceeds once any one of the assigned users completes the task.
All Assignees Complete: All users assigned must complete the task for the route to proceed.

How to use Route Management?

  1. Launch the Route Management app via the Compass in the 3DEXPERIENCE platform.

  2. Click on + New Route to begin setting up your process.

  3. In the Properties tab:

  • Name the route.

  • Set its purpose (Standard, Approval, or Review).

  • Provide a description for context.

  1. In the Content tab:

  • Add relevant files using drag-and-drop or the add content to review button.

  • Files added will be used in reviews and approvals.

  1. In the Tasks tab:

  • Add tasks one by one and choose whether they are serial or parallel.

  • Set expected actions (approve, comment, notify), assign users/groups, and define due dates.

Once a route is started, task notifications are automatically sent to users via their task dashboards. As each task is completed, the system moves to the next stage—no manual intervention required.

3DEXPERIENCE Route Management makes it easy to coordinate approvals at scale with visibility and consistency.

Route waiting for final approval stage

Once approved, all the people related to it get notified and the route is completed.

NOTE: What Happens if a Task is Disapproved?
  • If any step in the route is disapproved, the entire route stops immediately.
  • This provides an opportunity to review the feedback, make the required changes, and restart the route when ready.

Templates Save Time

After setting up a route, you can save it as a template. This allows you to reuse a pre-defined structure across multiple projects—perfect for teams that follow standard review and approval procedures regularly. With 3DEXPERIENCE Route Management, creating and applying templates becomes a seamless part of your workflow.

Benefits of Using Route Management

Challenges Without Route ManagementBenefits With Route Management (3DEXPERIENCE)

1. Manual tracking via emails or spreadsheets
1. Automated workflows reduce manual effort and errors
2. Missed or delayed task notifications2. Real-time alerts ensure timely responses
3. Unclear task ownership3. Defined assignees improve accountability
4. No visibility into approval progress4. Transparent task tracking with dashboards
5. Lack of compliance/audit trails5. Built-in traceability supports compliance
6. File reviews done outside platform6. Integrated file access within the route
7. Rebuilding workflow each time7. Reusable templates save setup time
8. No automated file maturity promotion8. Auto-promotion to maturity states (e.g., Released)
9. Process continues despite disapproval9. Route halts on disapproval, allowing corrections
10. Difficult remote or cross-functional collaboration10. Accessible from any device, ideal for remote/global teams
